Develop a mini event of your choice, one that can be carried out in class. For example, you can
plan a type of meeting, eg training meeting, seminar etc, mini wedding. Imagine that a site was
selected for the event and you have to send a Request for Proposal. Create a formal report to
document the information below and you will also be required to put on the event in class.
Written document must contain the following nine (8) points listed below.
1. Describe the event and the goal and purpose
2. The event theme
3. The role and function of each of the team members in the event eg. Meeting facilitator, bride
etc.
4. Describe how you went about selecting the site and why that site was chosen (eg, great
audiovisual, meetings space etc)
5. What are the processes and activities that were involved in putting the event together? ie. preevent, during the event and post event activities. (the section needs to be detailed)
6. Who are the attendees and how the event was marketed to these individuals. Eg. Advertising
tools, methods etc.
7. Who are the events sponsors? What are benefits to be obtained for the sponsors of the event?
8. Prepare a basic Request for Proposal that was submitted to the sites (hotels, conference centers
etc,) requesting bids.
