Southern New Hampshire University Email Etiquette Discussion After reading the articles 17 Email Etiquette Tips and Business Email Etiquette, consider what makes an email professional. Hi everyone!
I’ve always been very cautious when writing business emails. I want to make sure that I’m clear
in my questions and explanations so as to make communication with fellow co-workers
seamless. The 2 most important tips in my opinion that I found in the articles are to use a
professional email and to get the recipients name correct. There have been a couple of times
where I’ve almost sent an email to a potential employer with an email I had in middle school (it
was classygirl214 or something). Before I sent it, I saw that I was in the wrong email (thank
goodness!). To me, that just comes off as extremely immature and no employer wants
someone like that working in their facility. Getting the recipients name correct is very important
to me as well because it has happened to me recently. My veterinarian was administering
chemo therapy to my dog, Daisy. He wanted to send us an email about the treatment, but
everything he had sent was under a cat named Bella. That made me feel like he was very
careless which pushed me to find a new veterinarian.
A tip that I would add in is grammar. I know that they included proofreading in the articles, but
they only really touched on spelling. Grammar is a big thing for me. Knowing the difference
between then and than, where to put a comma, and so on is important for me. If I see that the
grammar isn’t very good, I’ll spend most of the time correcting the email than I would actually
reading the content.

In these two links I think in the “17 Rules of Email Etiquette You Need to Know” number 3,
“Think twice before hitting ‘reply all'” is the most important tip. I have been working for
government most of my adult life, first in the military then in the federal government for the VA,
and one thing that always annoyed everyone is when someone responded to an all hands
message. In the government there are messages sent out automatically or by someone with
something as simple as a news letter or an announcement from a higher up official and on
occasion someone would make themselves look like an idiot by responding. I once saw
someone respond to an email that was sent to every military member in the region from an
admiral and 3 junior enlisted members replied all with an email to the admiral included on the
recipient list. I think it’s very important to know your audience and limit your audience to need to
know, replying to everyone is a sure fire way to accidentally include someone who doesn’t need
to know.
In the other link “Effective Business Email Etiquette” I think an important thing they mention is
number 4 “send timely replies”. A lot of emails are time sensitive and require prompt replies.
This can be for something as simple as moving up a deadline to patient care coordination. It’s
very important to respond promptly with a clear reply to an email you get that is expecting a
reply otherwise it will create friction and confusion.
